These Terms and Conditions (“Terms”) govern all bookings and services provided by Gaming Party London (“we”, “us”, “our”). By booking our services, you (“the Client”, “you”, “your”) agree to be bound by these Terms.
1) Bookings
A booking is confirmed only once we have received the required deposit and provided written confirmation (via email or message).
The person making the booking must be 18 years or older and is responsible for ensuring all details provided (event date, time, location, and package selection) are accurate.
2) Deposit & Payments
A non-refundable deposit is required to secure your event date.
- The remaining balance must be paid no later than [7 days] before the event date, unless otherwise agreed in writing.
- Failure to pay the remaining balance on time may result in cancellation of your booking.
3) Cancellation Policy
- If you cancel more than 7 days before your event, your deposit remains non-refundable.
- If you cancel 7 days or less before the event date, you will lose your deposit.
- If full payment has already been made and you cancel within 7 days of the event, we reserve the right to retain the deposit and may retain additional costs already incurred.
We strongly recommend that you only book once you are certain of your event date and venue.
4) Changes to Bookings
Requests to change event dates or times are subject to availability. We will do our best to accommodate reasonable changes, but cannot guarantee availability.
5) Our Services
We provide gaming party entertainment services including consoles, VR systems, gaming vans/trailers (if applicable), screens, and equipment as agreed in your booking package.
We reserve the right to substitute equipment with similar or equivalent equipment if necessary due to technical issues or availability.
6) Client Responsibilities
- Provide safe and suitable access to the venue location.
- Ensure adequate space and power supply (if required).
- Ensure appropriate adult supervision is present at all times during the event.
- Ensure guests treat equipment respectfully.
You are responsible for any loss or damage caused by deliberate misuse, negligence, or failure to supervise guests appropriately.
7) Equipment Damage
All equipment remains our property at all times. The Client may be charged for repair or replacement costs if equipment is damaged due to misuse, vandalism, or negligence during the event.
8) Safety & Behaviour
We reserve the right to stop the event or remove equipment if any guest behaves in a way that is unsafe, abusive, or threatening towards our staff or equipment. In such cases, no refund will be provided.
9) Force Majeure
We are not liable for failure to perform our obligations where such failure is due to circumstances beyond our reasonable control, including but not limited to extreme weather, road closures, accidents, government restrictions, or technical failures beyond our control.
10) Liability
We maintain appropriate public liability insurance.
To the fullest extent permitted by law:
- We shall not be liable for indirect or consequential losses.
- Our total liability shall not exceed the total amount paid for the booking.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by law.
11) Photography & Marketing
We may take photographs or short videos during events for promotional purposes. If you do not consent to this, you must inform us in writing before the event.
12) Data Protection
We handle personal data in accordance with our Privacy Policy.
13) Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
14) Changes to These Terms
We may update these Terms from time to time. The latest version will always be available on our website.
